About this policy

This policy explains how Cellar Creations collects, uses, stores and protects your personal information when you interact with us — through our website, by phone, by email, or in person during a project. Cellar Creations is a specialist cellar division of First Impressions Projects Pty Ltd, and this policy applies to both entities where they act on your behalf.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We collect only the information we need to respond to your enquiry, deliver a project, or run our business. Depending on your relationship with us, this may include:

  • Your name, email address, phone number, and location (country, state or region, suburb).
  • Details about your project — the type of cellar, the space, the collection, your timeline and budget indications, and any drawings, photos or plans you share with us.
  • Practice or company name, project references, and other professional details if you contact us as an architect, designer or builder.
  • Communications between us — emails, phone conversations, meeting notes, and files exchanged during a project.
  • Automated information from our website — cookies, IP address, browser type, pages visited, and referring source, collected via standard analytics tools.

We don’t ask for and don’t need sensitive information (health, financial account details, government identifiers) for a standard cellar enquiry. If a project ever requires it, we’ll ask separately and explain why.

How we use your information

We use your information to:

  • Respond to your enquiry and prepare a scope of works and feasibility study.
  • Design, document, supply and deliver your cellar project.
  • Communicate with you throughout a project — including with your builder, architect or other consultants where relevant.
  • Send you occasional updates, project news and cellar articles, but only if you’ve opted in via our contact form or otherwise given us permission.
  • Improve our website and services based on how visitors use the site.
  • Meet our legal, tax and business record-keeping obligations.

Who we share it with

We don’t sell your information. We share it only where necessary to deliver your project or run our business, and only with parties who have their own obligations to keep it secure:

  • Project consultants and suppliers — architects, builders, climate suppliers, freight companies and installers involved in your specific project.
  • Service providers — our website host, email platform, analytics tools, and cloud storage. These providers may store data outside Australia; where they do, we choose providers with adequate data-protection standards.
  • Legal, accounting and insurance advisers — where they need it to fulfil their role for us.
  • Government or regulators — where we’re legally required to share information.

How we keep it safe

We store personal information on secure servers and platforms with access limited to the people who need it. Files exchanged during a project are held in secure cloud storage. We retain records only for as long as we need them for the project and for our legal obligations, typically seven years after project completion for financial records.

No system is completely secure. If we ever became aware of a breach involving your personal information, we would notify you promptly, in line with the Notifiable Data Breaches scheme.

Cookies and website analytics

Our website uses cookies to remember your preferences, to help the site work correctly, and to help us understand how visitors use it. We use standard tools such as Google Analytics for aggregate visitor statistics — pages viewed, referring source, general location — not personal identification.

You can disable cookies in your browser settings. Doing so may affect how some parts of the site work.

Your choices and rights

You have the right to:

  • Ask what information we hold about you.
  • Ask us to correct information that’s out of date or wrong.
  • Ask us to delete information we no longer need to hold (subject to any legal record-keeping requirements).
  • Opt out of marketing communications at any time, either by clicking the unsubscribe link in an email or by contacting us directly.
  • Make a complaint about how we’ve handled your information.

Making a complaint

If you’re not satisfied with how we’ve handled your information, please contact us first so we can try to resolve it. If you’re still not satisfied, you can lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time to reflect changes in how we operate or in the law. The current version will always be available on this page, and the “last updated” date at the top will show when it was last changed.
